- Facility Use & Rentals (Facilitron)
The San Carlos School District now uses the Facilitron online system for facility requests and rentals. This system is designed to make the process easy and efficient for everyone. With Facilitron, you can:
- Submit reservation requests quickly.
- View photos and descriptions of available facilities.
- Check real-time availability.
- Get estimated quotes.
- Pay online.
You can explore and request all district facilities through this link: Facilitron - San Carlos School District. While the request, approval, and management process is now digital, all policies regarding facility use remain the same as established by the San Carlos School District’s board. Final decisions on facility use are made by the district’s administrative staff, with priority given to school sites.
Facilitron will help set up organization and user accounts, verify non-profit status (if applicable), collect payments, and gather proof of insurance (certificate of insurance) on behalf of the district. Payments can be conveniently made on Facilitron using major credit cards, checks, ACH/eCheck, or PayPal. Proof of insurance can be uploaded directly to the system or obtained through Facilitron.

Important: Reservations must be made at least 14 business days before your desired date(s) of use. All users must have an approved request on file before using any school facilities. Permit requests must be submitted electronically through the Facilitron system.
Proof of Insurance
All users must provide proof of insurance before approval. The insurance must name the District as the "Certificate Holder," and a separate "Additional Insured" page is required. This page must include the following language:
The San Carlos School District requires a valid Certificate of Insurance (COI) on file before facility use. As a condition for using District facilities, the user must provide a Certificate of Insurance and an Additional Insured Endorsement with liability coverage of $1,000,000 per occurrence, applicable to the event in question. The Certificate Holder should be listed as follows:

All staff working with students must also submit Fingerprint and Criminal Background Check Certification. This is required by the Department of Justice (DOJ) under Education Code section 45125.1 et seq.
